Meetings Page
Overview
The Meetings page is your central place for everything meeting-related: upcoming meetings, meetings being recorded right now, and finished meetings with their AI summaries. It replaces the old Meeting Bots page — scheduling a notetaker, watching a live recording, and reading summaries all happen here now.
Everyone in your organization can use the Meetings page. You always see your own meetings — the ones you organized or were invited to on the calendar.
Finding the page
Click Meetings in the left navigation menu (next to Calendar). It is available on desktop and mobile.
The week view
Meetings are shown as a week-by-week feed:
- Each week is a row of days, with today highlighted so you always know where you are.
- Every meeting appears as a card anchored to its calendar event, so you can see the title, time, and participants at a glance.
- Scroll up to load earlier meetings — past weeks are loaded as you go, so your full history is reachable without cluttering the page.
Each meeting card reflects the meeting's current state:
| State | What you see |
|---|---|
| Upcoming | The scheduled meeting with its participants, and a control to request the AI notetaker |
| In progress | A live indicator with the recording status |
| Finished | A summary chip once the AI summary is ready |
Requesting the AI notetaker
For an upcoming meeting, use the notetaker control on the meeting card to request a recording bot. The bot joins the call at the scheduled time, records it, and a summary appears on the card after the meeting ends.
While a meeting is being recorded, the page shows a live footer with the recording status, and you can stop the recording from there.
Reading summaries
When a recorded meeting has been processed, its card shows a summary chip. Click it to open:
- A written recap of what was discussed
- Highlights, action items, and decisions
The raw transcript is never shown — only the processed summary, clearly marked as generated by AI.
Users with the appropriate role (HR and above) additionally get:
- An AI chat to ask questions about the meeting ("What did we agree on the timeline?")
- A share control (meeting owner only) to make the summary visible to other employees
The meeting details page
Click a meeting's title on its card to open a dedicated page with everything about that meeting in one place:
- Title, date, and status — including a live indicator while the meeting is in progress.
- Participants — everyone invited on the calendar, plus anyone the summary was shared with.
- Preparation questions — review the prep questions for the meeting, mark them as covered, and add your own.
- Open in calendar — jump straight to the calendar event the meeting came from.
Sharing the summary
The meeting owner can share the meeting from the details page:
- The share dialog shows the complete access list — calendar invitees and everyone the summary was shared with.
- The owner can grant and revoke access at any time. Calendar invitees are part of the meeting itself and cannot be removed from the list.
- People a summary is shared with can view it, but they can never re-share it — only the owner controls who has access.
Deleting a meeting
The meeting owner (or an administrator) can delete a meeting from the details page, after a confirmation step. Deletion cannot be undone. Other participants can view the page but cannot delete the meeting.
Tips
- If you were invited to a meeting on the calendar, it appears on your Meetings page automatically — no setup needed.
- The summary usually appears a few minutes after the meeting ends. If it stays pending, the recording may still be processing.
FAQ
Q: Why don't I see a meeting I know happened?
A: The Meetings page only shows meetings you organized or were invited to as a calendar participant. Ask the organizer to check the calendar invite.
Q: Where did the Meeting Bots page go?
A: Its functions moved here. Requesting a bot, watching live recordings, and reading summaries all happen on the Meetings page now. Administrators can temporarily re-enable the old page per organization if needed.
Q: A summary was shared with me — can I share it with a colleague?
A: No. Only the meeting owner can share a summary. Ask the owner to add your colleague to the access list.
Q: Can I read the full transcript?
A: No — only the processed summary and highlights are shown. This keeps meeting content readable and avoids exposing raw conversation.
