Time Off & Leave

The Time Off page (**/company/time-off**) is where you and your team request leave, track balances, and manage approvals. It shows a month-by-month timeline of who's away, alongside the tools to create and review requests.

What You Can Do

  • Request vacation, sick leave, or other absence
  • See a calendar timeline of who is off and when
  • Track your remaining leave balance
  • Approve or decline leave requests (for managers and HR)
  • Configure leave policies for the whole company (for admins)

The Time-Off Calendar

The main Time Off view is a timeline. Each row is an employee, and the columns are the days of the month, so you can see at a glance who is on vacation, on sick leave, or otherwise absent.

  • Month and year selector — Move forward or back by month, jump between years, or click Today to return to the current month.
  • Legend — Explains the colors used for different leave types and statuses.
  • Filters — Narrow the timeline by office, department, or team. Your filter choices are remembered for next time.
  • Search — Find a specific employee by name.

Days where several people overlap are highlighted, so you can spot potential coverage gaps.

Requesting Time Off

To submit a leave request:

  1. On the Time Off page, click Create request. This opens the request form (/company/time-off/create-leave-request).
  2. Choose the leave type:
    • Vacation — Annual / paid leave, drawn from your vacation balance.
    • Sick leave — Time off due to illness, drawn from your sick-leave allowance.
    • Absence — Other time away.
  3. Pick the dates. You can request:
    • A full day or a half day
    • Multiple days
    • A partial first or last day (for example, leaving early on the last day)
  4. Add a reason if needed.
  5. For sick leave, you can attach supporting documentation (such as a medical note).
  6. Review the leave overview shown next to the form — it displays your available vacation and sick-leave days, including any carried-over days and their expiry date.
  7. Submit the request.

Once submitted, the request goes to your approver(s), and the relevant people are notified.

Tracking Your Balance

When you open the create-request form, Marmend shows your live balances:

  • Vacation balance — Days remaining out of your annual allowance, plus any carried-over days from last year.
  • Sick leave balance — Days remaining out of your sick-leave allowance.

These figures come from your assigned leave policy and reflect leave you've already used or that's pending. You can also review your own balance and request history from the Time Off page by opening My requests.

Request Status

Every request moves through a clear status:

  • Pending — Submitted and awaiting a decision.
  • Approved — Confirmed; the days are deducted from your balance.
  • Declined — Not approved. The reason given by the approver is shown.

You're notified each time your request's status changes.

Approving Requests (Managers & HR)

If you have permission to manage leave (HR, Admin, Owner, and designated approvers), you have extra controls:

  • Open All requests to see every pending request across the company.
  • Filter to show only the requests where you are the main approver.
  • Open a request to review its details — dates, type, reason, and any attached documentation.
  • Approve the request, or Decline it with a comment explaining why.
  • Click a person's row in the timeline to see their requests and balance before deciding.

Decisions trigger notifications to the employee and to HR, so everyone stays informed.

Leave Policies (Admins)

Administrators configure the leave rules for the whole organization on the Leave policy page (Admin → Leave policy, at /company/admin/leave_policy, available to Owners, Admins, and HR).

A leave policy defines:

  • Annual vacation days — The yearly paid-leave allowance.
  • Sick leave days — The yearly sick-leave allowance.
  • Special leave days — An allowance for other types of absence.
  • Carry-over — Whether unused vacation days roll over into the next year, and the expiry date by which carried-over days must be used.
  • Default — Whether this policy is automatically applied to new employees.

From the Leave policy page you can:

  • Create, edit, and delete leave plans
  • Set one plan as the default for new hires
  • Switch between the Plans tab (the policies themselves) and the Employee usage tab (who is assigned to each plan)
  • Reassign employees from one plan to another, including when deleting a plan that still has people on it

Note: Carried-over days only apply when carry-over is allowed on the policy, and they expire on the date set in the policy. Keep an eye on the expiry date shown in your balance so you don't lose days.
