Robota.ua Integration

Overview

The Robota.ua integration allows you to automatically sync your vacancies to Ukraine's leading job board and import candidate applications directly into Marmend. This streamlines your recruiting workflow by eliminating manual data entry and ensuring your job listings stay up-to-date across platforms.

Requirements

Before setting up the integration, you'll need:

  • An active robota.ua employer account
  • API credentials from robota.ua
  • Admin permissions in Marmend

How to Enable Robota.ua Integration

  1. Navigate to Settings → Integrations
  2. Locate the Robota.ua card
  3. Click Connect
  4. Enter your robota.ua API credentials
  5. Click Save to activate the integration

Publishing Vacancies to Robota.ua

Once the integration is enabled, a Robota.ua toggle appears on each vacancy card in the vacancy list (next to the Marmend toggle):

  1. Navigate to Recruiting → Vacancies
  2. Find the vacancy you want to publish
  3. On the vacancy card, click the Robota.ua toggle (the switch with the Robota.ua icon)
  4. The vacancy is synced and published to robota.ua immediately

Important: The vacancy must have all required fields filled in (title, location, description, requirements, skills, plus, bonus) before it can be published.

Integration Actions

Click the dropdown arrow next to the Robota.ua toggle to access:

  • View published vacancy — opens the vacancy on robota.ua in a new tab
  • Copy link — copies the robota.ua vacancy URL to your clipboard
  • Delete — removes the vacancy from robota.ua (the vacancy stays in Marmend)

Publication Plans

Robota.ua offers several publication types depending on your subscription:

Plan Description
Business Standard publication
Optimum Mid-tier publication with better visibility
Professional Premium publication with custom design options
Hot Highlighted vacancy for maximum visibility

Current behavior: Vacancies are published using the Business plan by default. In a future update, you will be able to choose which plan to use when publishing, and the system will show you how many credits you have available for each plan.

If you see an error like "Not enough publication units", it means your robota.ua account doesn't have available credits for the Business plan. Check your robota.ua employer dashboard to verify your available credits, or contact robota.ua support.

How Applications Are Imported

Applications from robota.ua are automatically imported every 10 minutes. When a candidate applies through robota.ua:

  1. Their profile is created in Marmend under the corresponding vacancy
  2. Their CV is downloaded and attached to their profile
  3. The source field links to the original robota.ua vacancy
  4. You receive a notification about the new candidate

Duplicate Prevention

The system automatically detects duplicates using:

  • Email address
  • Vacancy (job posting)

If a candidate with the same email has already applied to the same vacancy, the system will not create a duplicate entry.

Viewing External Vacancy Links

To view your vacancy on robota.ua:

  1. Open the vacancy in Marmend
  2. Look for the External Links section
  3. Click the View on Robota.ua link

This opens the live job posting in a new browser tab.

Managing Sync Status

You can check the synchronization status of your vacancies:

  1. Navigate to Recruiting → Vacancies
  2. Each vacancy shows its robota.ua sync status:
    • Published - Active on robota.ua
    • Unpublished - Removed from robota.ua
    • Syncing - Currently being synchronized
    • Error - Sync failed (contact support)

Unpublishing Vacancies

To remove a vacancy from robota.ua:

  1. Navigate to Recruiting → Vacancies
  2. Find the vacancy card with the active Robota.ua toggle
  3. Click the Robota.ua toggle to switch it OFF — the vacancy is removed from robota.ua immediately

Alternatively, use the dropdown menu and select Delete to remove the vacancy from robota.ua with a confirmation dialog.

The vacancy remains active in Marmend and on other platforms.

Updating Vacancies

When you edit a vacancy in Marmend that's published to robota.ua:

  1. Make your changes in Marmend
  2. Click Save
  3. Changes are automatically synced to robota.ua

The following fields are synchronized:

  • Job title
  • Description and requirements
  • Location
  • Employment type
  • Salary range (if specified)
  • Required experience level

Tips

  • Enable for Active Vacancies Only - Only sync vacancies you're actively recruiting for
  • Keep Descriptions Updated - Changes in Marmend automatically update robota.ua
  • Monitor Applications - Check your Marmend notifications for new candidates
  • Review Sync Status - If a vacancy shows an error status, try toggling the integration off and on again

Troubleshooting

Vacancy Not Appearing on Robota.ua

If your vacancy isn't showing on robota.ua:

  1. Verify the integration is enabled in Settings → Integrations
  2. Check that "Publish to Robota.ua" is toggled ON for the vacancy
  3. Wait 10-15 minutes for the sync to complete
  4. Check the sync status in the vacancy list
  5. If the status shows "Error", contact support with the vacancy details

Applications Not Importing

If applications from robota.ua aren't appearing:

  1. Verify the integration is still connected
  2. Check that the vacancy is published and active on robota.ua
  3. Wait up to 10 minutes (import runs every 10 minutes)
  4. Check your email for error notifications

Duplicate Candidates

If you see duplicate candidate entries:

  1. The system should prevent duplicates automatically
  2. If duplicates occur, they may have different email addresses
  3. You can manually merge duplicate candidates in Marmend
