Overview

Marmend's recruiting system captures comprehensive candidate information with built-in international support. Contact details, including phone numbers, are stored with country codes to support candidates from anywhere in the world.

Candidate Contact Details

Phone Numbers with International Support

The recruiting system supports international phone numbers with automatic country code handling:

  • 190+ Countries: Full support for all major countries
  • Visual Country Selection: Flag emojis and searchable country names
  • Smart Defaults: Uses your office location's country code by default
  • Flexible Format: Accepts phone numbers with or without country codes

Adding Candidate Phone Numbers

When adding a new candidate or updating contact information:

  1. Country Code Dropdown:
    • Opens to show your office location's country (e.g., 🇵🇱 Poland +48)
    • Search by country name to find other countries
    • Displays country flag, name, and code
  2. Phone Number Input:
    • Enter just the local number (without country code)
    • System automatically combines: country code + number
    • Example: Enter "123456789" with +48 → Stored as "+48123456789"
  3. Display Format:
    • Shows flag, country code, and number
    • Example: 🇺🇦 +380 | 671234567

Candidate Information Fields

Required Information

  • First Name
  • Last Name
  • Email

Optional Contact Information

  • Phone Number (with country code)
  • Location (city/country)
  • Timezone
  • Social Profiles (LinkedIn, etc.)

Importing Candidates with Phone Numbers

When importing candidates from external sources:

  1. With Country Code (Recommended):
    • Format: +380671234567
    • System automatically parses country code and number
    • Displays with correct country flag
  2. Without Country Code (Legacy):
    • Format: 671234567
    • System applies your office location's default country code
    • You can edit to change country code if needed

International Candidate Management

For international candidates or remote hiring:

  1. Multi-Country Recruitment:
    • Each candidate can have their own country code
    • System tracks candidate location separately from phone country code
    • Timezone support for scheduling interviews
  2. Country-Specific Views:
    • Filter candidates by location
    • View phone numbers with correct international format
    • Consistent display across the platform

Best Practices

  1. Always Include Country Codes:
    • Especially important for international candidates
    • Prevents confusion when calling candidates
    • Ensures data portability
  2. Verify Country Codes:
    • Double-check when candidates are from different countries
    • Don't assume all candidates are local
    • Use location field to track candidate's actual location
  3. Data Quality:
    • Update phone numbers when candidates change countries
    • Keep emergency contacts current
    • Verify phone numbers before scheduling calls
  4. Interview Scheduling:
    • Consider timezone when scheduling calls
    • Use international format for calendar invites
    • Confirm phone number before important calls

Phone Number in Candidate Profile

The candidate profile displays:

  • Contact Details Card:
    • Email address
    • Phone number with flag and country code
    • Location
    • Social profiles
  • Communication History:
    • Call logs reference full phone numbers
    • Email communications
    • Interview scheduling notes

Technical Details

  • Storage Format: E.164 international format (+[country code][number])
  • Country Code Source: Derived from office location or manually selected
  • Legacy Migration: Old numbers without country codes are preserved but can be updated
  • API Integration: Phone numbers in API responses include full country code

Troubleshooting

Problem: Country code is incorrect

  • Solution: Click the country code dropdown and select the correct country

Problem: Phone number doesn't accept spaces or dashes

  • Solution: Enter only digits; system will format automatically

Problem: Legacy phone number shows wrong country

  • Solution: Edit the candidate, select correct country code, save

Problem: Can't find country in dropdown

  • Solution: Start typing country name to search; all 190+ countries are available

CV and Document Attachments

You can attach a CV, a cover letter, and a portfolio to a candidate. Marmend reads the CV to build the candidate's Experience tab and to calculate their AI match score, so an attachment that Marmend can actually open matters.

Accepted file types

  • PDF (recommended)
  • Word document (.doc and .docx)

File size limit

Each attachment can be up to 5 MB. The limit applies everywhere a document can be attached:

  • Every recruiter upload dialog -- creating a candidate, editing a candidate, and the Upload CV button on the Experience tab
  • The public application form that candidates fill in themselves

If a file is over the limit, you get a file too large error immediately and nothing is saved -- the candidate keeps whichever document was there before. Replace the file with a smaller one and save again.

Practical tip: export the CV as a PDF rather than attaching a scan or a photo of a printed CV. Scanned images are by far the most common reason a file goes over the limit, and a scan usually has no readable text in it even when it does fit.

Why the limit exists

A file above the limit cannot be read by Marmend's CV analysis. Previously such a file could be attached successfully but was never processed, so the candidate silently ended up with no structured work history on the Experience tab and no AI match score, and nothing on screen explained why. Refusing the file at upload makes the problem visible right away, while you still have the document in front of you.
