Overview

The Vacancies page provides a card-based view of all your job openings. Each vacancy card shows key information at a glance — title, department, team, location, candidate count, and publication status — so you can manage your hiring pipeline efficiently.

Card Layout

Each vacancy is displayed as a card with the following sections:

  • Title and candidate count — The vacancy name with a link to its detail page, plus a badge showing how many candidates have applied (and how many are new)
  • Department and team — Shows which department and team the vacancy belongs to
  • Location and job details — Chips displaying the office location, job time (full-time, part-time), and job type (on-site, remote, hybrid)
  • Assignee — The recruiter or hiring manager assigned to this vacancy
  • Publication status — Toggle switches showing where the vacancy is published

Priority Indicator

High-priority vacancies are visually distinguished with a colored left border on the card. You can set or change a vacancy's priority using the fire icon in the card header:

  • High priority — Red indicator
  • Medium priority — Yellow indicator
  • Normal priority — Green indicator

Managing Vacancies

Quick Actions

Each card provides quick-access buttons:

  1. Add Note — Click the note icon to attach a note to the vacancy
  2. Set Priority — Click the fire icon to change the vacancy's priority level
  3. Post with AI — Generate AI-powered social media posts for LinkedIn and Telegram. Opens a share modal where you can choose a platform, generate a post, or copy a short link. See AI Social Media Post Generation for details.
  4. More Options (three-dot menu):
    • Edit — Open the vacancy form for editing
    • Open/Close — Change the vacancy status
    • Delete — Remove the vacancy (with confirmation)

For draft vacancies, a direct delete button is shown instead of the full menu.

Creating and Editing a Vacancy

Open the vacancy form with Edit from the three-dot menu, or create a new vacancy from the Vacancies page. Two things on that form are worth a closer look.

Location, including Worldwide

  • The location picker always offers Worldwide as its first option, marked with a globe icon. Choose it for fully remote roles that aren't tied to any particular place.
  • Worldwide stays available no matter what you type in the search box, so you never have to clear your search to get back to it.
  • Every other option is a real place picked from the search list — type a few letters to search for a city.
  • Choosing Worldwide now sticks. Previously the choice was lost when you saved and the field came back empty the next time you opened the vacancy. That is fixed: the choice is kept and Worldwide also shows on the public job posting.
  • Worldwide is a translated label rather than free text, so it follows the language a candidate is browsing your job page in — German and Ukrainian visitors see it in their own language.

CV attachments on the public application form

An applicant who attaches a CV larger than 5 MB gets a visible "file too large" error and the application is not submitted. See Candidate Information Management for the accepted file types and tips on keeping a CV under the limit.

Publishing to Integrations

Each vacancy card shows publication controls for connected platforms:

  • Marmend — Your internal career page
  • Robota.ua — Ukrainian job board (if integration is connected)
  • Work.ua — Ukrainian job board (if integration is connected)

For each platform:

  • Toggle switch — Enable or disable publication on that platform
  • Actions menu — View the published listing, copy the link, or remove the listing

Integration Banner

If your organization hasn't connected job board integrations yet, a promotional banner appears at the top of the vacancy list:

  • Explains the benefits of multi-platform publication
  • Provides a Connect Integrations button that navigates to the integrations settings page
  • Can be dismissed by clicking the X button (stays hidden until your next session)

This banner is only visible to administrators and owners.

Searching and Filtering

Search

Use the search bar at the top of the page to find vacancies by name. Results update as you type.

Filters

Click the Filters button to narrow down the vacancy list by:

  • Status — Open, Closed, Draft
  • Department — Filter by organizational department
  • Team — Filter by team
  • Priority — Filter by priority level
  • Assignee — Filter by assigned recruiter

Active filters appear as removable chips below the search bar. Click the X on any chip to remove that filter, or use Reset all to clear everything.

Sorting

Sort vacancies by:

  • Date created (newest first)
  • Priority (highest first)
  • Name (alphabetical)

Tips

  • Use the priority indicator to highlight urgent hiring needs — high-priority vacancies stand out with a red border
  • Publish vacancies to multiple platforms simultaneously to maximize candidate reach
  • Check the candidate count badges regularly to stay on top of new applications
  • Draft vacancies are only visible to your team and won't appear on any public job boards
