Microsoft Outlook Calendar Integration

Connect your Microsoft 365 / Outlook calendar to Marmend to sync your events and manage your schedule directly from the platform.


What You Can Do

With the Microsoft Outlook integration, you can:

  • Sync your Outlook calendar to see all events in Marmend
  • Real-time updates - changes in Outlook appear in Marmend within minutes
  • View meeting details including Teams links, location, and attendees
  • Check availability for scheduling interviews and meetings

Connecting Your Microsoft Account

Step 1: Go to Integrations

  1. Click on Administration in the left sidebar
  2. Select Integrations
  3. Find the Microsoft Outlook card

Step 2: Connect Your Account

  1. Click Connect on the Microsoft Outlook card
  2. You'll be redirected to Microsoft's sign-in page
  3. Sign in with your Microsoft 365 account (or select an existing account)
  4. Review the permissions Marmend is requesting:
    • View your profile information
    • Read your calendar events
  5. Click Accept to grant access

Step 3: Verify Connection

After connecting, you'll return to the Integrations page where:

  • The Microsoft Outlook card shows a Disconnect button (meaning it's connected)
  • Your Outlook calendar events will begin syncing automatically

Viewing Your Calendar

Once connected, your Outlook calendar events appear in Marmend:

  1. Go to Calendar in the left sidebar
  2. Your Outlook events sync automatically alongside any other calendars
  3. Microsoft events are shown with a blue accent color (#0078D4)

Sync Timing

  • Initial sync: Events from the past 30 days and next 90 days
  • Ongoing sync: Changes sync within 1-2 minutes via webhook push notifications
  • Types: New events, updates, cancellations, and deletions all sync automatically
  • Efficient sync: Only changed events are fetched (delta queries), not the entire calendar

How Sync Works

Marmend uses Microsoft's push notification system:

  1. When you connect, Marmend registers for calendar change notifications
  2. Whenever anything changes on your Outlook calendar, Microsoft notifies Marmend
  3. Marmend fetches only the changed events and updates your calendar view
  4. Subscriptions are automatically renewed every few days - no action needed from you

Disconnecting Your Microsoft Account

If you need to disconnect your Outlook calendar:

  1. Go to Administration > Integrations
  2. Find the Microsoft Outlook card
  3. Click Disconnect
  4. Confirm the disconnection in the dialog

What Happens When You Disconnect

  • Synced events remain in Marmend's history
  • New Outlook calendar changes stop syncing
  • The webhook subscription is removed
  • You can reconnect at any time

Troubleshooting

Events Not Syncing

Symptom: New events in Outlook don't appear in Marmend

Solutions:

  1. Wait 2-3 minutes - sync isn't instant
  2. Check that your account is still connected in Administration > Integrations
  3. Try disconnecting and reconnecting your Microsoft account

"Connection Failed" Error

Symptom: Error when trying to connect

Solutions:

  1. Make sure you clicked "Accept" on all permissions
  2. Check if your organization restricts third-party app access
  3. Contact your IT administrator - they may need to approve Marmend in Azure AD

Account Already Connected

Symptom: "This Microsoft account is already connected" message

Solutions:

  1. You may have already connected this Microsoft account
  2. Disconnect the existing connection first, then reconnect
  3. If connecting a different account, make sure to sign out of the other account on Microsoft's login page

Need to Re-authorize

Symptom: Events stopped syncing after working previously

Solutions:

  1. Your token may have expired or been revoked
  2. Go to Administration > Integrations
  3. Disconnect Microsoft Outlook
  4. Reconnect your account

Privacy & Security

What Marmend Accesses

  • Your calendar event list (titles, times, locations, attendees)
  • Your Microsoft profile (name and email for identification)
  • Microsoft Teams meeting links (if present on events)

What Marmend Does NOT Access

  • Your Outlook emails
  • Your OneDrive files
  • Your Microsoft Teams chats or channels
  • Any other Microsoft 365 data beyond calendar

Data Storage

  • Calendar events are stored securely in Marmend's database
  • Your Microsoft credentials (tokens) are encrypted
  • Data is isolated per company (multi-tenant architecture)

Revoking Access

You can revoke Marmend's access at any time:

  1. Go to Microsoft Account Security
  2. Find "Marmend" in the list of apps
  3. Click Remove access

Or ask your IT admin to remove the app from Azure AD > Enterprise Applications.


Frequently Asked Questions

Q: Does this work with personal Microsoft accounts?

A: Yes, both personal Microsoft accounts (outlook.com, hotmail.com) and Microsoft 365 work accounts are supported.

Q: How often does the calendar sync?

A: Events sync in near real-time through push notifications. Most changes appear within 1-2 minutes.

Q: Can my team see my Outlook events?

A: By default, only you can see your personal calendar in the calendar view. Team visibility depends on your organization's settings.

Q: Can I create events in Outlook from Marmend?

A: Calendar write support (creating/updating events on Outlook) requires the :microsoft_calendar_write feature flag to be enabled by your administrator. Currently, sync is read-only by default.

Q: What happens if my Microsoft password changes?

A: You may need to reconnect your Outlook calendar. Marmend uses refresh tokens, so most password changes don't require reconnection. If sync stops, disconnect and reconnect.

Q: Will this affect my existing Google Calendar connection?

A: No. Microsoft Outlook and Google Calendar integrations are completely independent. You can have both connected simultaneously.
