Real-Time Presence Tracking
Real-time presence tracking lets you see which team members are currently online and what page they're viewing. This helps prevent duplicate work, silent overwrites, and unnecessary context-switching. You can also send quick direct messages to online colleagues via Ephemeral Chat.
Who Can See Presence?
Presence tracking is available for the following roles:
- Owner
- Admin
- Manager
- HR
- Recruiter
Users with other roles (e.g., regular employees) will not see presence indicators and are not tracked.
ℹ️ Presence tracking requires the Presence Tracking feature to be enabled for your company. Contact your administrator if you don't see presence indicators.
How It Works
Global Presence (Header Bar)
When you're logged in, you'll see small avatar circles in the top header bar, between the notification bell and your profile. These show which colleagues are currently online across the platform.
- Green dot 🟢 — Active (interacted with the platform in the last 5 minutes)
- Yellow dot 🟡 — Idle (no activity for 5–15 minutes)
- Grey dot ⚫ — Away (no activity for 15+ minutes, or switched to another browser tab)
If more than 4 colleagues are online, you'll see a "+N" counter showing how many additional users are active.
Hover over any avatar to see the team member's name.
Page-Level Presence ("Also Viewing")
On certain key pages — like the Vacancy Board and the Calendar — you'll see an "Also viewing" bar near the top of the page. This shows which colleagues are currently viewing the exact same page as you.
This is especially useful for:
- Vacancy Board: Know if a colleague is already reviewing candidates for the same vacancy, preventing duplicate pipeline moves
- Calendar: See who else is looking at the schedule before making booking changes
Automatic Status Detection
Your status is detected automatically — no manual action needed:

When you return to the tab or start interacting again, your status automatically switches back to Online.
Tips & Best Practices
- Check presence before editing: Before making changes to a candidate's pipeline stage or calendar event, glance at the "Also viewing" indicator to see if a colleague is on the same page
- Coordinate via presence: If you see a colleague is on the same vacancy board, consider reaching out to coordinate who handles which candidates
- Don't worry about privacy: Presence only shows that you're on a page — it doesn't track what you click or type. Only your name, avatar, and current page are visible to colleagues
FAQ
Q: Can I turn off presence tracking for myself? A: Presence tracking is controlled at the company level by administrators. When enabled, all eligible users (HR, recruiter, admin, owner, manager) are automatically tracked.
Q: Does presence tracking slow down the platform? A: No. Presence updates use lightweight real-time technology (WebSocket) and only send data when your status changes — not continuously.
Q: What happens if I have multiple tabs open? A: The system shows your most active status. If you're active in one tab but idle in another, you'll appear as "Online" to colleagues.
Q: Why don't I see the presence avatars? A: Check the following:
- Your role must be Owner, Admin, Manager, HR, or Recruiter
- The "Presence Tracking" feature flag must be enabled for your company
- You need to be on a page where other eligible users are also logged in
