Gmail Integration

Gmail integration connects your Google account to Marmend, enabling two powerful features: sending emails from your Gmail address and syncing candidate emails automatically. Both features activate when you connect your Google account.

Connecting Your Google Account

Gmail integration is automatically enabled when you connect your Google account through Calendar Settings. There's no separate setup required.

Setup Steps

  1. Click on Calendar in the left sidebar
  2. Click the Settings icon or go to Calendar Settings
  3. In the "Connected accounts" section, click Connect calendar
  4. Select Google as your calendar provider
  5. Click Next
  6. Sign in with your Google account
  7. Review and accept the permissions
  8. Click Allow

Once connected, both Google Calendar and Gmail integration are active for that account.

Permissions Requested

During the Google OAuth flow, Marmend requests the following permissions depending on which features are enabled for your organization:

Note: If your organization has only Gmail Sync enabled (not Gmail Send), you'll be able to view synced emails but won't see Gmail as a sending option.


Sending Emails via Gmail

When Gmail Send is enabled and your Google account is connected:

  1. Go to the Send Emails page or open the send email modal on a candidate card
  2. In the email provider dropdown (near the send button), select your Gmail account
  3. Compose your email using a template or AI
  4. Click Send

What Happens When You Send

  • The email is delivered through the Gmail API (not Marmend's system sender)
  • It appears in your Gmail "Sent" folder
  • Full email threading is supported — if the candidate replies, the thread stays together
  • The email is recorded in the candidate's communication timeline in Marmend
  • Your Gmail selection is remembered for next time

Fallback Behavior

If your Gmail token expires or permissions are revoked:

  • Marmend automatically falls back to the system sender ([email protected])
  • A warning is logged
  • Reconnect your Google account in Calendar Settings to restore Gmail sending

Email Sync

When Gmail Sync is enabled, Marmend automatically captures emails between you and candidates.

What Gets Synced

Sync Timing

  • Real-time sync: New emails sync within seconds via Google's push notifications
  • Automatic updates: Changes to labels and read status sync automatically
  • Background processing: Email sync runs in the background without user interaction

Email Matching

Marmend matches emails to candidates by comparing email addresses in To, From, Cc, and Bcc fields against candidate email addresses in your system.

Viewing Synced Emails

Synced emails appear in the candidate's communication timeline:

  1. Navigate to a candidate's profile
  2. Scroll to the Communication Timeline section
  3. Emails sent to/from the candidate appear chronologically
  4. Click on an email to view the full content

Managing Multiple Google Accounts

You can connect multiple Google accounts:

  1. Go to Calendar Settings (/company/calendar-settings)
  2. Click Connect calendar
  3. Select Google and sign in with a different account
  4. Google will show an account picker — select the account you want to add
  5. Review and accept the permissions
  6. Both accounts will sync their emails and calendar events

Each connected Google account appears as a separate option in the email provider dropdown when composing emails.

Note: You cannot connect the same Google account twice. If you try, you'll see an error message.


Disconnecting Gmail

Since Gmail is tied to your Google account connection:

  1. Go to Calendar Settings
  2. Find your Google account in the "Connected accounts" list
  3. Click the delete button next to it
  4. Confirm the disconnection

What Happens When You Disconnect

  • Previously synced emails remain in Marmend's history
  • New emails will stop syncing
  • Gmail will no longer appear as a sending option
  • Google Calendar events also stop syncing (same connection)
  • Your default email provider resets to the system sender if it was set to Gmail

Troubleshooting

I don't see Gmail as a sending option

  • Check that your Google account is connected in Calendar Settings
  • Your organization must have the Gmail Send feature enabled — contact your administrator
  • Try disconnecting and reconnecting your Google account

Emails aren't syncing

  • Check that your Google account is still connected (not expired)
  • Your organization must have the Gmail Sync feature enabled
  • Email sync only captures emails matching known candidates — if a candidate's email address isn't in their profile, their emails won't sync

Permission errors during connection

  • Make sure you click Allow on all permission screens
  • If your organization uses Google Workspace, your admin may need to approve the Marmend app
  • Try using a different browser or clearing cookies

Privacy & Security

  • Marmend only accesses emails that match candidates in your system
  • Personal emails are never accessed or stored
  • OAuth tokens are encrypted and stored securely
  • You can revoke access at any time by disconnecting in Calendar Settings or in your Google account security settings
