Overview
Employee contact details in Marmend include email addresses and phone numbers with international support. The system automatically handles phone numbers with country codes for all employees worldwide.
Phone Number Management
Features
- International Format: All phone numbers are stored with country codes (e.g., +380, +49, +1)
- 190+ Countries: Support for all major countries with flag emojis
- Auto-Detection: System automatically detects and preserves country codes from existing numbers
- Default Country Code: New phone numbers automatically use your company's office location country code
- Legacy Support: Old phone numbers without country codes are automatically upgraded
Phone Number Fields
Each employee can have up to three phone numbers:
- Work Phone - Official company phone number
- Personal Phone - Private contact number
- Emergency Contact Phone - Emergency contact's phone number
Adding/Editing Phone Numbers
When you add or edit a phone number:
- The country code dropdown shows your office location's country by default
- Click the country code dropdown to select a different country (searchable by country name)
- Enter the phone number without the country code (just the local number)
- The system automatically combines country code + number for storage
Example:
- Office location: Poland (🇵🇱)
- Default country code: +48
- You enter: 123456789
- Stored as: +48123456789
- Displayed as: 🇵🇱 +48 | 123456789
Viewing Phone Numbers
Phone numbers are displayed with:
- Country flag emoji (e.g., 🇺🇦 for Ukraine)
- Country code (e.g., +380)
- Local number (e.g., 671234567)
Migrating Existing Phone Numbers
If you have existing phone numbers without country codes:
- The system detects numbers without "+" prefix
- Automatically applies your office location's country code
- You can edit to change the country code if needed
- No data is lost during migration
Email Addresses
Work Email
- Primary company email (e.g., [email protected])
- Cannot be changed once set (linked to user account)
- Used for system notifications
Personal Email
- Optional private email address
- Can be updated at any time
- Used for personal communications
Best Practices
- Always use full phone numbers - Include country codes for international employees
- Verify country codes - Double-check when adding employees from different countries
- Update emergency contacts - Ensure emergency contact numbers are current and include country codes
- Use office location default - For local employees, the default country code is usually correct
Technical Notes
- Phone numbers are stored in E.164 format:
+[country code][number] - Country codes are derived from office location (ISO 3166-1 alpha-2 to phone code mapping)
- All phone validation respects international formats
- Legacy numbers are automatically migrated on first edit
