Overview

Marmend uses simple per-seat pricing. The Billing & Subscriptions page (Company > Administration > Billing > Subscriptions) is where the company owner subscribes, adds seats, and manages payment details.

How pricing works

Paying annually saves 17% compared with paying month to month. Annual is billed once, upfront, for the year.

An administrative seat is needed for every person with one of these roles: Owner, Admin, HR, Manager, or Recruiter. People with the Employee role never need a seat — you can add as many as you like, on any plan or none.

Two simple rules:

  1. You pay nothing while you work alone. A single owner can use Marmend indefinitely without a subscription — no trial period, no countdown.
  2. Giving an administrative role to anyone else requires a paid seat. Once you subscribe, every administrative role uses a seat — including the owner's.

Subscribing

  1. Go to Company > Administration > Billing > Subscriptions (owner only).
  2. Choose annual or monthly billing. Annual is selected by default, because it is the better value. The seat quantity is calculated from your current administrative roles.
  3. Click Subscribe — you'll be taken to a secure Stripe checkout page to enter payment details.
  4. After payment you're returned to Marmend and your subscription is active within a few seconds.

Managing your subscription

Click Manage on the Billing page to open the Stripe customer portal, where you can:

  • Update your payment method
  • View and download invoices
  • Change the number of seats
  • Cancel the subscription

While subscribed, the Billing page also shows an estimate of your next invoice, so there are no surprises at renewal.

Seats and roles

Roles are managed on the Role-based access page (Company > Administration > Role-based access). Because granting roles can change your bill, this page is available to the company owner only.

The page shows a seat counter (for example "Seats: 2 of 3 in use") so you always know where you stand before granting a role.

  • Granting a role with a free seat: works as before — pick the person, pick the role, done.
  • Granting a role when all seats are taken (subscribed): you'll see a confirmation dialog — "Add a seat to your subscription?" — showing the exact price of the extra seat. Confirm, and the role is granted and one seat is added to your subscription automatically. The difference is billed prorated to your current billing period — no new checkout is needed.
  • Granting a role when all seats are taken (not subscribed): you'll see "No seats available for this role". Subscribe on the Billing page first, then grant the role.
  • Changing a role: moving someone between administrative roles (for example HR → Manager) doesn't need an extra seat.
  • Removing a role: changing someone to Employee frees a seat immediately.

AI usage

Marmend's AI features (CV matching, candidate chat, meeting summaries, and similar) come with a monthly usage allowance. As the owner, you can always see how much your company has used:

  • In the sidebar: a small "N credits used this month" card appears in the navigation. It updates live as your team uses AI features. You can dismiss it with the × — it stays hidden for you until re-enabled.
  • On the Billing page: an AI usage summary shows the total for the current month, with a link to the details.
  • On the AI usage page (Company > Administration > Billing > AI usage, owner only):
    • This month so far — usage grouped into simple categories (AI features, Meetings, Other). The breakdown refreshes every few minutes.
    • Recent activity — a paginated list of usage and credit events with date, type, and amount.

Usage is informational in this version — AI features keep working as normal, and nothing is cut off mid-month.

What happens if you have more administrative roles than seats

This can happen if you reduce seats, cancel your subscription, or a payment ultimately fails.

  1. Nothing is removed immediately. The owner receives a notification (in-app and email) and your team gets a 7-day grace period.
  2. During the grace period you can add seats or change some people to the Employee role yourself.
  3. If the team still exceeds the available seats after 7 days, the most recently added administrative users are automatically changed to the Employee role until your team fits the seats again. The owner is notified when this happens. The owner's account is never affected.

People changed to Employee keep their account and data — they simply lose administrative permissions until you give the role back (with a seat available).

Failed payments

If a charge fails, Stripe retries automatically over several days and your team keeps full access during that time. Only if the subscription is ultimately cancelled does the 7-day grace period above begin — so a temporary card issue never affects anyone's role.

FAQ

Do I need a subscription to add employees? No. Employees are free and unlimited, with or without a subscription.

Is there a free trial? There's no time-limited trial — instead, a solo owner is permanently free. You only pay when your team grows beyond one administrative user.

Who can see the Billing page? Only the company owner. The Role-based access page is also owner-only, since granting roles can add seats to the bill.

How do I add a seat? Just grant the role — if you're subscribed and out of seats, Marmend asks for confirmation and adds the seat automatically. You can also change seat quantities in the Stripe customer portal via Manage.

How do I get an invoice? Click Manage on the Billing page — all invoices are available in the Stripe customer portal.

Can other admins see AI usage? No — the sidebar usage card, the Billing page, and the AI usage page are visible to the owner only.
